Welcome to HomeBoss Apex. This platform is not a standard CRM; it is a proprietary, high-speed execution engine designed to manage your portfolio, forecast your revenue, and automate your communications with zero lag.
I. THE DASHBOARD & HUD METRICS
When you log in, the system instantly calculates your real-time performance metrics based only on your assigned clients.
- Active Pipeline: The total number of clients currently active in your portfolio.
- Under Contract: Clients in the final stages of the pipeline (Showing, Writing Offers, Under Contract, Active Listing).
- Follow-Up Required: A targeted alert system. If a client is in the “No Contact Yet” or “No Response” status, they are flagged here so no lead falls through the cracks.
- Projected 90-Day GCI: The platform reads the Contract Price of your clients, applies a standard 3% gross commission, and multiplies it by a probability metric based on their exact pipeline status (e.g., Under Contract calculates at 90% probability).
II. PORTFOLIO NAVIGATION (THE MATRIX)
Your main screen is the Matrix. It is designed for high-visibility recon.
- Smart Search: Type a name, phone number, email, or a custom tag (e.g., “VA Loan”) into the search bar, and the board will filter instantly.
- Quick Filters: Toggle between ALL, BUYERS, and SELLERS with one click.
- Advanced Sorting: Use the dropdown on the right to sort your portfolio by Newest First, Oldest First, Pipeline Status, Name, or Client Type.
- Hover Intel: If you see a dotted line under a client’s History Log, hover your cursor over it. A dark-glass intel panel will instantly deploy, showing the full chronological notes without requiring you to open the profile.
III. CLIENT EXECUTION (THE PROFILE MODAL)
Clicking ACCESS on a client opens their full profile. This is your command center for that specific transaction.
- The Power Dialer: At the top right, you will see [⬅ Prev] and [Save & Next ➡] buttons. You do not need to close the modal to move to the next client. Click “Save & Next” to instantly save your current notes and jump to the next profile in less than a second.
- 1-Click Dispatch: Under the header is your comms suite. Click “Dial Client” to instantly launch your phone app. Click Check-In, U.C. Rules, Open Escrow, or Lender to automatically draft a full, professional email pulling in the client’s name, property address, and closing date.
- The Social Flex & AI Prompt: Click the purple “📱 Flex Post” button to automatically copy an aggressive, agent-focused success post about that specific property directly to your clipboard for Instagram/Facebook. It also appends a custom AI prompt you can paste to Donovan to build the graphic.
- Partner Platform Suite (Launch App ▾): Never leave the platform to find a tool. Click the dropdown to instantly access the Showing Agreement, Forewarn, Transact, Boss Network, BrokerBay, MLS, and CloudCMA.
- The Commission Forecaster: As you type in a Contract Price, the panel calculates the exact Net Agent Pay and Net Brokerage Pay. It utilizes smart algorithms to calculate complex splits (Redfin tiers, 55Places, Self-Gen vs Brokerage).
- Black Box Auto-Drafts: If you change a client’s Pipeline Status and hit Save, the system will automatically intercept the action and draft a tailored email template for that exact new stage.
IV. FINANCIAL & MILEAGE LEDGER
Accessible from the ⚙️ System Menu dropdown. This is your personal 1099 and expense tracker.
- Income & 1099 Tab: When a deal closes, log the property, the gross, and your net payout. It builds a permanent list of your closings and a YTD Income Tracker for tax season.
- Mileage Tracker Tab: Enter your starting address and the property destination. Click [ 🗺️ Calculate Route in Maps ] to instantly open Google Maps, grab the total mileage, and log it.
V. MARKETING VAULT
Accessible from the ⚙️ System Menu. Use this to grab official HomeBoss graphic templates from Google Drive. You can also use the Evergreen Script Generator to instantly write high-converting, brokerage-branded captions for your social media, and get matching AI Image Prompts to paste to Donovan.
